Laptops, Chromebooks, and Chargers (Oh My!)

How to check out a laptop or Chromebook:

  1. Log into LibApps with the student worker username and password: https://park.libcal.com/admin
  2. Click on “Equipment”
  3. Under “Booking Grid & Availability,” change the category to the correct device type and click “Go”
  4. Find the correct laptop or Chromebook number.  Make sure you already have the device in front of you, and ensure that the status bar is green, and there is no *Overdue* Status next to the device name on the grid.
  5. Click today’s date. The due date will automatically be filled in
  6. Click “Submit Times”
  7. Fill out the student’s information: first name, and last name, and their student ID e-mail. Ex: #######@park.edu
  8. Assign the due date of the device to the next end of term.( Ex if you're checking out a device during Spring II, the due date will be the last day of finals week)
  9. Click "Add Item" and add the device charger. Ensure the due date is the same for both devices
  10. Click “Add Booking”
  11. A pop-up will appear confirming that the device has been reserved. To complete the process, select 'Check out now'. Verify that the status bar for the device has turned yellow.

Remember: You MUST check out a device charger along with the Chromebook or laptop! Do not complete a checkout before confirming that you've accurately selected the device and charger you've given the student.

How to check in a laptop or Chromebook:

  1. Log into LibApps with the student worker username and password: https://park.libcal.com/admin
  2. Click on “Equipment”
  3. Click on the “Check In” tab
  4. Change the “Show Bookings” filter to “All Checked Out Items”, search for the student's last name in the search box and click 'Go'
  5. For Chromebooks: Place the charger back in its designated crate behind the desk, and place the chromebook back in the cart
  6. For Laptops: Laptops MUST be wiped by IT before being placed back in the cart! Every time a laptop is returned, submit an IT ticket once the IT ticket is placed, place the laptop and its charger on the shelf behind the desk and mark with a sticky note that says 'NOT WIPED.' Chad will come by to process the device before we can put it back in the cart.

 

 

Weekly Equipment Inventory

How to do weekly equipment inventory:

  1. Log into LibApps with the student worker username and password: https://park.libapps.com/libapps/login.php
  2. Click on “LibCal”
  3. Click on “Equipment”
  4. Open the Chromebook and laptop carts. The keys are located in the right-side drawer behind the information desk.
  5. Make note of which Chromebooks, Chromebook chargers, and laptops are missing from the carts.
  6. On LibCal, go to the “Booking Grid & Availability” tab and change the device category to “Chromebooks.”
  7. Make sure that the items marked as checked out in LibCal match the items missing from the Chromebook cart. Checked out items are marked in orange, items that are out of our system (e.g. broken or lost) are marked in white, and items that have been reserved for future checkout are marked in red. All other items should be green.
  8. If there are discrepancies:
    • Item is in the cart but marked as checked out in LibCal:
      1. Make note of who has it “checked out” (name and ID number) and send that info to Anne. Then, check in the device by following the steps above.
    • Item is marked as green but not in the cart:
      1. Go to the “Check In” tab in LibCal
      2. Change the “Show Bookings” filter to “All Checked Out Items”
      3. Find the item in the list of checkouts (if it’s there) and check the due date. If the item is overdue, write down the patron’s first name, last name, and Park ID and send the info to Anne. If the item is not shown in the list of checkouts, proceed with the remaining steps.
      4. Click on Settings (the gear icon) in the top navbar
      5. Click “Spaces & Equipment”
      6. Click “Equipment Inventory”
      7. Find the correct device (AND associated charger)
      8. Under the “Action” column, hit the Edit button (square with pencil inside it)
      9. Click “Status”
      10. Change Status to “Lost/Broken”
      11. Hit “Save”
